Responsibilities
Responsible for conducting all the activities related to the assets, including:
- Registering the new assets on the system, conducting and archiving all related hardcopy, and updating the asset's status.
- Following up on the asset’s verification on a biannual basis.
- Recording the transfer of the assets on the system and preparing the related documentation (e.g. assets donation, handing over assets to employees, receiving back the assets from employees, …, etc.)
- Preparing the assets-related reports.

Responsible for vendor management:
- Verifying and managing the vendor registration documents, by making sure that all the commercial registries/licenses/authorities’ approvals are valid, and uploading all documents to the local server and online ShareFile, with updating the vendor catalog on Excel sheet and online related system.
- Participating in conducting vendors’ pre-qualification and managing the process from initiating the assessment visit till the final results (including contacting the vendor, coordinating with the pre-qualification team, filling in the logistics feedback, and uploading the documents to the related online system, updating the pre-qualified vendor's list, and sharing the results with related parties).
- Conduct requested market surveys (for extending the vendor catalog, confirming prices, items availability in the markets, ……., etc.) in coordination with the procurement team.

Archiving Logistics Documents:
- Archiving the logistics documents as hard copies and soft copies on the related systems (e.g. Vehicle Logbook, Generator Logbook, Vendors& registration documents, vendors& pre-qualification forms, etc.).

Conduct Hotel reservations in coordination with the Procurement Team and the requester department and update the Internal Monthly Movement Plan accordingly.

Translate all documentation related to the Logistics Department and share the translation with concerned parties.


Preparing the daily transportation report by compiling all the transportation requests into one table in coordination with the fleet manager, then sharing it with all concerned parties.

Follow up with logistics documentation (e.g., collecting signatures, scanning, filling forms., etc.).


Providing accurate reports related to logistics activities:
- Responsible for the right data entry and data analysis regarding procurement tracker and warehouse management in an ERP-based system
- Responsible for collecting the data and preparing the reports related to the fleet department (Vehicle performance report, Vehicle utilization, etc.).
- Participating in Preparing and Compiling monthly and quarterly logistics reports, and any reports that might be requested on the spot.
- Creating suitable forms and templates using spreadsheet programs to meet logistics reporting needs.
- Conduct data analysis with related departments and manage the outcomes.

Any other logistics-related tasks that might be required by the direct supervisor.


Qualifications
- Minimum Institute degree in one of the following fields or related: Business/Trade, Supply Chain, Management.
- At least 2 years of experience in logistics and/or Supply Chain
- Previous INGO experience or background with knowledge of donors and humanitarian procurement and asset management is desirable.

- Ability to analyze information, think, and plan strategically under the supervision of the direct supervisor.
- English Skills: Able to read, analyze, and interpret business contracts, technical procedures, or governmental regulations
- Ability to write reports.
- Proficiency in MS Office (Word, Excel).
- Able to travel outside Damascus to visit IMC sites when needed.
- Good Communication Skills.
- Good Teamwork spirit.
