II. Context
The crisis in Syria has entered its eleventh year with little prospects for imminent end to violence that is faced on daily basis and impact the lives and exacerbate the vulnerability of children, women, the elderly, and the disabled.
In addition, the widespread displacement and deterioration of life conditions have negatively influenced the social and economic fabric of Syria.
As a response to the emerging needs of the Syrian population, and in line with the overall framework of the Syria Humanitarian Response Plan, Strategic Framework for Syria and UNDP Country Program Document, UNDP Syria is working on enabling Local economic recovery and livelihoods for vulnerable populations through inclusive private sector recovery and development, human capital development and pro-poor market interventions; enabling Local-level support for social protection/cohesion, gender equity and sustaining peace enabled; and developing Responsive, accountable and transparent local governance systems
The project will build its activities based on local needs to enhance the infrastructure of Deir EzZor governorate.
The Project Admin will be recruited, through a third-party contract, to support the admin and financial activities of UNDP on infrastructure and Rehabilitation portfolio in the field. Project admin assistant is expected to follow up the projects’ financial matters in the governorate efficiently and timely with direct supervision of operation assistant for administrative technical issues, technical supervision, and regular guidance. The Project admin assistant is expected to work and coordinate closely with IR technical officer / personnel in the field office to ensure maximum efficiency, timely reporting, and efficient coordination.
III. Key functions and responsibilities
-Following up and preparing all activities related to submitting canvasses and financial matters related to all projects including EU/ Norway projects (joint program pro)
-Organize offers and micro-purchases and follow-up on finalizing procurement process on time and arrange for delivery of goods and services according to activities agenda.
-Manage day-to-day tasks.
-Preparing monthly salary list in collaboration with project managers.
-Collect and keep full track record of invoices and receipts and submit to UNDP field office.
-Coordinate with logistic to ensure logistical arrangement readiness for all project activities.
-Keep track record of project activities including attendance, complains, problem encountered, results and achievements Monitor all project activities, expenditures and progress towards achieving the project output.
-Monitor and evaluate overall financial matters on achievement of results.
-Provide feedback to the Project Manager on project activities.
-Process payments, file and archive all relevant documents (vouchers, invoices).
-Develop budget status reports, monthly and quarterly financial progress reports.
-Maintain inventory of records of project deliverables, documents, files, equipment and materials.
-Full collaboration with project manager and UNDP field office.
-Other duties as they arise.
