Objective 1: (Office Support/Communication)
Tasks:
-Support Executive Director and Administrative departments manager in communicating with stakeholders as requested.
-Maintains control records on incoming correspondence and action documents and follows up on work in process to insure timely reply or action.
-Support in organizing of special events (workshops, events, meetings).
-Prepare minutes and notes from internal and external meetings and ensure these are circulated for all departments.
-Attend and prepare reports for line manager when needed.
Responsibilities:
Objective 2: (Documentation/Archiving)
Tasks:
-Maintain all files and records, outgoing correspondence and reporting (in Executive Director office).
-To make sure that all files and communication, incoming and out-going, is registered orderly.
-Ensures that files include all required documents and that all documents are properly signed.
-To support with any other related tasks requested by line manager.
