Responsibilities
Objective 1: (Office Support/Communication/reporting)

-Draft correspondence and make sure that all incoming letters are disseminated to concerned departments and properly archived in both (hard and soft copies)
-Update liaison department monthly reports and trackers (projects approvals, field visits, visas) and upload it on System on monthly basis
-Support in organizing meetings and prepare minutes of meetings when requested
-Support in organizing of workshops and trainings when requested
-Prepare minutes and notes from external meetings and ensure minutes are validated and circulated for all departments under supervision of Liaison officer
-Facilitating the arrival of all international staff/visitors at the Syrian Lebanese borders and support with translation and preparing the needed documents?

Objective 2: (Archiving)

-Maintain files and records of memoranda, outgoing correspondence donor correspondence and reporting (Hard/soft copies).
-Maintain control records on incoming correspondence documents and follows up on them to ensure timely reply or action taking.
-Ensure files and communication incoming and outgoing, are registered, translated from Arabic to English and vice versa.
-Ensures that files include all required documents, and all documents are properly signed.
-Upload all Liaison department documents on System when requested by Liaison officer

Objective 3: (Translation)

-Ensures high level translation of all documents (agreements, correspondence , technical reports to ministries etc.)
-Ensure all received documents/approvals are translated and disseminated to concerned staff

Qualifications
-Bachelor’s degree in business administration or any other relevant field.
-Administrative experience
-2 years’ experience with minimum of a 1 year experience working in a similar position


Specific Vacancy Requirements
-Humanitarian sector knowledge Is a plus
-MS Office, PowerPoint, Word, Visio, web applications very good
Arabic and English (fluent, at least pre-advanced level)

Salary and Benefits
Contract period: 6 months renewable base on Action Against Hunger fund and performance.

Salary/benefits: According to Action Against Hunger's salary scale and terms and conditions.

Duty station: Damascus.
