Responsibilities
• Implement and monitor logistics systems, in accordance with OXFAM policies and procedures.
• Ensure that the proper administrative procedures and standards for order follow-up, ordering, stock keeping and dispatch are followed.
• Assist in identifying and developing good working relations and contacts with appropriate suppliers within Syria.
• Keep a proper record of expenditures, receipts (related to procurements only), requisitions, purchase order forms, waybills, and all other documents.
• Prepare and submit weekly logistics reports as requested.
• Report monthly on all logistics activities
• Assist in customs clearance with related authorities, agents and service providers.
• Support in all matters related to transportation of goods to the field/ destination required.
• Follow-up on all pending logistics related issues to ensure timely and proper delivery.
• Act as backup for the Procurement Assistant when required
• Ensure asset maintenance and upgrading assets.
• Support Logistic Officer to monitor asset in monthly, quarterly and annual reporting.
• Ensure an accurate and complete stock level count.
• Assess the availability of space and prepare stacking/storage plans in order to utilise the space optimally.
• Assess the strengths and the weaknesses of the warehouse operation and propose corrective actions to the management.
• Assess new warehouse facilities when needed.
• Ensure that accurate and complete accounting, reporting and internal control systems are functioning and that relevant records are properly maintained.
• Supervise the receipt and dispatch of all consignments arriving in the warehouse.
• Monitor the quantity and quality of supplies stored.
• Carry out regularly physical random count/inventory in the warehouse.
• Prepare monthly/weekly stocks and logistics movement reports
• Make sure that Oxfam warehousing policy across all warehouse related activity.
• Recording and managing Oxfam assets in accordance with Oxfam standards
• Open and maintain necessary logistics, procurement files and databases.
• Undertake any other task as requested.



Qualifications
Qualification and Experience:
• University Degree in Business Administration or equivalent.
• Minimum 2 years of experience in a similar function in addition to knowledge in purchasing, warehousing, fleet and facility administration.

Skills and competencies:
• Good competency in Microsoft Office applications
• Diplomacy, tact and negotiating skills.
• Team-working skills.
• Flexibility under pressure and in response to changing needs.
• Attention to detail and excellent numeracy.
• Good communication skills
• Ability to keep clear and concise records.
• Very good comment in both spoken and written Arabic and English.
