Responsibilities
• Answer and address incoming phone calls in a timely and professional manner, provide appropriate authorized information to callers, take and deliver messages accurately and completely.
• Report and liaise with the Staff Safety Officer concerning all safety matters and report any security gaps and breaches.
• Monitor and authorize entrance and departure of employees, visitors, and other persons to guard against theft and maintain safety of premises.
• Control admission of authorized personnel and movement of Oxfam property in and out of the premises.
• Ensure that attendance and visitors logs are maintained.
• Ensure that all office machines, air conditioners, lights, etc are turned off after working hours.
• Patrol and maintain security of the office premises including the grounds of the building and report any irregularity on daily basis.
• Ensure that the hibernation kit is regularly maintained.
• Ensure main building and out-building alarms are functional at close of day.
• Ensure that issued security equipment (such as fire extinguishers, blankets) are functional at all times, report any damage or defect to the Staff Safety Officer.
• Liaise with the INSO and UNDSS on all matters related to safety and security in the event of the absence of the Staff Safety Officer.
• Attend to any major incident as needed and ensure sufficient and proper reports are completed and shared with the Staff Safety Officer.
• Conduct patrols within the building and fire safety observation whenever there are unusual incidents and as required by the Staff Safety Officer.
• Conduct basic safety training related to the building as well as adhere to safety and security rules and regulations.
• Deliver safety and security briefing and awareness session to newly hired personnel and visitors in the event of the absence of the Staff Safety Officer.
• report urgent news to the Staff Safety Officer.
• Escort Oxfam field missions when needed.
• Daily check Oxfam vehicles considering security and safety protocols.
• Track daily movement.
• Perform other duties as required.


Qualifications
Qualification and Experience:
• Reasonable relevant work experience.

Essential
• Ability to speak English and Arabic, with good report writing skills.
• Ability to act quickly, knowledgeable and decisive in emergencies; remain calm under pressure.
• Ability to maintain administrative systems and processes.
• Ability to organise work effectively and support others, and work in a team.
• Ability to work shifts during day and night, and handover to the next shift before leaving.
• Excellent communication; listen and react to questions from others appropriately.
• Knowledge of Telephone techniques.
• Fully capable of performing all aspects of job.
• Take initiative and proposes new ways to e.g. improve work processes.
• Proactive approach to problem solving.
• Sensitive to cultural differences and able to work in a wide variety of cultural contexts
• Understand of the importance of gender in humanitarian work.
• Willing to learn Oxfam procedures and to be flexible in tasks undertaken.
• Strong work ethics and high level of trust.
• Good mapping skills.
• Good experience in field mission.
