Responsibilities
Under the overall guidance of the UN-Habitat Urban Information and GIS Specialist, and daily supervision of the Director of International Cooperation in the Ministry of Local Administration and Environment, the Project Administrative Assistant will be responsible of providing admin support to Municipalities Technical Offices Support Project (Phase I, Phase II and Phase III) with related implementation projects(Housing rehabilitation, cadastral, public spaces and environment), to be implemented in many different municipalities and Directorate of services. The responsibilities will include:
1. Assist in administrative and logistical coordination between the ministry and the program, and assist in the project capacity support in the selected administrative units through agreed activities between the program and the ministry
2. Organize municipalities meetings agenda in line with the project implementation work plan;
3. Prepare minutes of meetings with municipalities and local authorities in Arabic and English;
4. Support the organization workshops, roundtables and meetings by facilitating logistic arrangements to ensure prompt and effective implementation of activities;
5. Prepare output reports of each training workshops (attached with the relevant images);
6. Follow-up travel arrangements and DSA payments for trainers and participants;
7. Establish a proper filing system and maintain files and documentation in good order;
8. Any other administrative support tasks.

Specific Vacancy Requirements
Education:
• Secondary school;
• Bachelor degree in relevant fields is desirable.

Experience:
• 4 years’ experience for secondary school, or 1-year experience for a bachelor’s degree in relevant administrative and coordination work (administrative assessment, workshops, and communication with administrative units)
• Excellent team player, yet capable of independent work-planning and time management,
• Proven communication and interactive skills.
• UN experience is desirable.

Arabic (Fluent)
English (Functional)
