Responsibilities
• Inform the direct line manager and the team about the donor’s guidelines, tools and calls.
• Coordinate with HoM / Program Coordinator in terms of reporting, and any contract modifications to be communicated with donors.
• To draft efficient reporting tools coordinating with Program Coordinator and MEAL department for the operational teams to be proposed and validated by HoM/HQ
• Report overall follow up of projects implemented in close collaboration with operational teams to HoM
• Ensure that strategic and operational funding management information is distributed regularly to programme managers/budget holders and finance department.
• Ensure the quality of the reporting and anticipate deadlines.
• Provides HoM / Program Coordinator with the program updates to enable active dialogue with the donors and timely respond to their inquiries.
• Monitor and ensure the accuracy of grants/calls with the donors’ guidelines and protocols.
• Collect all necessary information on the context when appointed by Head of Mission and actively participate in development/ drafting of project proposals, closely coordinating with MEAL department and programs to report on ongoing activities.
• Take part monthly in the writing of the SITREP, especially in the drafting of sections devoted to monitoring of programs in the area and he/she is in charge of submitting this paper for validation.
• Assist in implementing, managing and improving the processes used to administer proposals, grants and contracts, including financial compliance, reporting, and communications with the appropriate departments within the mission.
• Be part of coordination between programme, and finance department to ensure synergy in contract management and reporting through regular planning meetings, bid- no bid discussion, proposal development workshops, kick-off meetings for new grants, budget amendments.
• Support engagement with new and existing donors through regular meetings, calls, and suggesting draft of the funding strategy and advocacy strategy for each donor to steer relations.
• Supporting effective opportunity to ensure fundraising resources/capacity are effectively utilized to improve proposal success rates
• Ensuring the development of high quality proposals for donors through proposal development workshops, critical review of proposal, seeking inputs from identified staff and management
• Meet between program, finance and logistic team while developing proposals through timely proposal development workshops/meetings, sharing donor priorities.
• He/she shall ensure that all specificities of donors or/and grants procedures regarding logistics, administration and financial resources are in compliance.
• Act as liaison between the program, logistic, financial teams and MEAL to ensure continuity, accuracy, and adherence to key processes related to grant management, systems used and reporting ensuring synergy in contract management, reporting and new programs development.
• Submit to SIF a monthly report by the end of each month
• Maintaining fundraising pipeline grid to ensure regular overview to help plan fundraising efforts and avoid risks to programme due to lack on income
• Supporting effective opportunity appraisal to ensure fundraising resources/capacity are effectively utilized to improve proposal success rates
• Report any relevant information to the line manager
• Ensuring high quality contract management to reduce risks to SIF funding.
• Support engagement with new and existing donors participating in drafting the funding strategy according to the line manager guideline.
• Supporting effective fundraising resources/capacity are properly utilized to improve proposal success rates
• Perform other duties as required.

Qualifications
• University Degree
• 3 years’ experience in managing humanitarian projects
• Proven experience of management of multi-sectoral programs
• Excellent editing skills, professional use of the office package (word and Excel)
• Knowledge of project management
• English written and spoken are absolute mandatory
