Responsibilities
1- Supervises the Facilities:
a. Premises
- Control the physical state of the premises and proceed to all adequate maintenance or repairs, i.e. all activities necessary for the premises to be functional at any times (electricity, plumber works).
- Control the good state of all doors, windows, locks & security equipment. Does any appropriate modification after proper validation.
- In charge of updating the security equipment in PUI Offices & Guest houses.
- In charge of fuel quantities follow up in PUI Offices & Guest houses.
- In charge of the monthly mobile units for PUI staff.
b. Fleet
- Make sure that the fleet files are in place and updated.
- Make sure that the drivers use the logistics book (Log book) following PUI rules.
- In charge of fuel cards follow up (to compare fuel Log book, receipt and fuel invoice)
- Update the Fuel consumption Follow Up.
- Ensure that the daily transport program is organized before the end of the day with the Head Driver.
c. Premises Storage
- Responsible for the stock of fuel, stationaries, cleaning material, electricity items, in Damascus premises and follows up of stock cards.
- Evaluates the needs of fuel, stationaries, cleaning material, electricity items for the premises for global order.
d. Inventory
- Centralize equipment list data and consolidates them. Make a physically check at Damascus level every 3 months
- Update Inventory list at Damascus level for any movement of equipment. Make a physically check every 3 months
e. Energy
- Control of energy installation & functioning (city power electricity & generators), maintenance, controls & repairs.
- Supply of small items related to energy (lamps, gas, batteries, and fuses) with validation of the direct supervisor.
- Supply gas & fuel for all premises (Base + Guest Houses) and controls their consumptions with the direct supervisor.
- Check the correct use of the energy sources (switch off lights/water pumps/ turn off tap) to avoid any waste.
2- Provides internal Reporting of the facilities part
- S/he has to provide a monthly reports to his/her direct supervisor.


Qualifications
- Good command of written and spoken English.
- Good level in MS Office application and internet.
- Previous experience in fleet and premises management.
- Excellent interpersonal and communication skills with strong organizational abilities.
- Ability to set priorities and manage time effectively.
- Ability to work both independently and as an effective team member.

Specific Vacancy Requirements
